About Caitilin

Caitilin Nelson is an operations architect who can't help but fix broken systems.

For 20+ years, she's worked in finance, talent acquisition, and operations—and in every single role, she saw operational chaos that nobody else seemed to notice. So she fixed it. Not because it was her job. Because it bothered her that much.

At Regus, she built multi-location management systems. At Temco and Allegis, she designed recruiting infrastructure. At Element Events, she automated HoneyBook workflows. Across every company, she achieved 60–65% workflow automation by identifying where manual processes were bleeding time and replacing them with systems that actually worked.

Then she realized: This is the real work.

She founded Arcana Systems to help solopreneurs and small teams (2–15 people) who are being held back by their own operational chaos. The ones where the founder is the bottleneck because no one else knows how anything works. The ones where brilliant people are stuck doing repetitive work that a system could handle.

Caitilin builds custom operational systems across the platforms a business already depends on: HoneyBook, Notion, Microsoft 365, Monday.com, Asana, Workday, existing CRMs, and the Arcana Systems CRM for teams starting without one. She's based in Phoenix, Arizona, and starts her degree in AI Software Engineering in July 2026.
